Reserve A Hotel With Conference Rooms For Your Next Executive Meeting

Blog

As you plan your next meeting that will include out of town executives, consider the best place for them to stay. For instance, if most of the men and women will be arriving and departing by plane, it makes good sense for them to stay at a hotel near the airport. On the other hand, if you live in a city that is famous for its historic district, you might want to choose a hotel that will provide easy access to those sites.

Besides a beautiful lobby and tastefully furnished sleeping accommodations, think of the other amenities you want the hotel to have. The list could include the following:

  • An exercise room
  • A five-star restaurant
  • Laundry and/or dry cleaning service
  • A complimentary breakfast
  • Friendly and helpful front desk attendants
  • A knowledgeable concierge
  • A swimming pool
  • Luxurious bedding, towels, and toiletries

Besides all of the above, it would be very helpful if the hotel offers a catering service and a private dining facility. As you reach out to those who will be attending, find out if anybody has special needs like rooms on the bottom floor or wheelchair accessible rooms.

When you send hotel information to those who will be attending the executive meeting, be sure to include check-in time and check-out time. Remind those who are coming that they will need to give a twenty-four-hour notification if they won't be attending after all. That will save the cost of paying for an empty room.

The Hotel Conference Rooms

Securing a hotel that has conference rooms will also be very important.

First, think of the area where everybody will gather for the first time to check in with the others in the group.  The room should be spacious enough for a sign-in table and for comfortable seating.

Consider how many small conference rooms you will need for things like workshops and for small group meetings. In addition, make sure that the hotel has one large room for times when everybody will meet together. If you will be needing a stage for entertainment purposes, find out if the hotel can set that up for you.

As you work with the agent that will be helping you, find out if you will have access to things like a podium, tables, and chairs. If you will need a good sound system and a screen, find out if the hotel can provide those items.
